What information do we collect
Unless stated otherwise, the SWA collects and processes personal data under the legal basis of a legitimate interest. This interest falls under a client business relationship, in which we are required to gather and use data in the best interest of the SWA and of the data subject.
When you purchase a SWA membership, your name, username, contact details, and ethnicity are processed to form a contract.
Other information such as university, emergency contact details, date of birth, windsurfing level, dietary requirements, and t-shirt size are processed to provide tailored events for you. Health information is also gathered in the interest of safeguarding and providing adequate care.
The SWA event series requires us to know your gender, university and windsurfing level. If you do not wish to enter the SWA event series, please contact us before registering.
If you attend an event, you consent to be photographed and recorded by audio or video. Photographs and recordings may be copyrighted, published, distributed and used in any media, including print and electronic, for reporting and marketing purposes. If you do not consent to your image being used in this way wish to consent, please contact us before attending an event.
If you attend an event and compete in a SWA competition, time and position data will be processed for that race attached with your name and university. This data will then be combined with other race information for the season to produce series results which will be published on our website. If you do not wish for your race data to be combined, stored or published, please contact us before competing.
How long will we keep your information
We retain the right to preserve personal data records for the use of archival and statistical processing purposes. It is your right to request the removal of your personal data at any point.
Who do we share your information with
We may share your personal data with processors acting on our behalf. These include volunteers that make up the SWA organising committee, cloud storage providers, website hosting providers, online communication services, payment processing, venues, event organisers, competition and prize providers. We will take measures to ensure data processors have a good understanding of GDPR, where possible, to ensure your personal data is handled in line with legal standards.
We will not share your personal data with any external businesses or individuals without your consent.
How we secure your information
We strive to protect your information from unauthorised access, use, or disclosure. We use a variety of physical and technical measures, policies, and procedures designed to protect our systems and your Personal Information.
